Booking Information
Ticket sales for all events close 2 weeks prior to the start of the session.
Please ensure you use Microsoft Edge to complete the Form, and that you login with your nhs.net email address (or you will get an error message) – the login details for all sessions will be sent to the email address provided. Click HERE for the Step-By Step Guide to Booking Training on Microsoft Forms.
Please be aware that you will receive an automated confirmation message screen to let you know that you have submitted the Form – you are advised to save your response, as this will have the date you have applied for. This is not confirmation that you have a place on the training.
You will be informed by email if you are on the training or if you are on the waiting list. This is due to:
- The high volume of applications for some of the training, which comes in at a faster rate than can be effectively managed in real time.
- Incomplete or missing information that means your application will be rejected.
- Finding that you have applied for inappropriate training for your job role.
Preparing for the Training Session
- Only apply for training you are eligible for.
- Check you have the joining link a minimum of 48hrs before the start date and time.
- If you do not have a link – first check your junk email folder – then email
nelondonicb.cpd@nhs.net.
- Complete any pre-training work you have been sent.
- If you are asked for an address for physical training materials, give your home
address – they will not be posted to your work.
During the Training Session
- Login a minimum of 15mins before the training session starts (then go to the loo and
make a cuppa).
- Check you have a working camera and microphone, and in a place you can fully
interact.
- Mobile phone use is not allowed – however some providers use them for interactive
elements, such as quizzes.
Cancellation Policy
- Some training sessions are very popular and so will have a 2 week cancellation notice
date.
- Some training sessions allow for larger numbers and/or are more niche and have a 1
week cancellation notice date.
- The date will always be on the booking page and on your confirmation email from
nelondonicb.cpd@nhs.net.
- To cancel email neldondonicb.cpd@nhs.net
DNA Policy – Things that count as a DNA
- If you email to cancel after the final cancellation date detailed in your confirmation email.
- If you cannot login before the training ‘room’ is locked, and you have not emailed
nelondonicb.cpd@nhs.net a minimum of 15 minutes before the start of the training.
- If you are ejected from a training session because you are using an inappropriate device.
- If you book on training that is not appropriate for your job role, and try to attend – there
will not be 2 chances if this is the case, you will be removed from all further training.
- If you have not received the joining link / cannot find the joining link, but you have not
emailed nelondonicb.cpd@nhs.net a minimum of 48hrs before the training date and time.
- If the emails are in your junk email folder and you have not checked this.
DNA Policy – What happens when you DNA
- 1st DNA: You and your Manager will receive an email informing you that you have DNA’d
a pre-booked session without cancellation.
2nd DNA: You will automatically be removed from any further CPD training for the
current financial year. You and your Manager will receive confirmation of this by email.
- You will have an opportunity to appeal, but please read the DNA Policy – Things that
count as a DNA page first. - If you have to cancel your place later than 5 full working days prior to the start of the
session, please email nelondonicb.cpd@nhs.net explaining your exceptional
circumstances, and these will be taken into consideration when deciding whether it
counts as a DNA.
FAQ: I can’t access the booking / evaluation
Form – it says I don’t have permission

evaluation system, you MUST be logged into your

FAQ: I can’t access the booking / evaluation Form – it says I have
already completed it
For MS Forms, which we use as our booking & evaluation system. You MUST be logged
into your nhs.net email account to access it if you are booking onto / doing an
evaluation for:
- Training Funded for General Practice
- Training Funded for HCAs
This then means that you cannot fill the Form in again. If you want to change the date,
you must email us at nelondonicb.cpd@nhs.net giving the name and date of the training
that you are booked onto, and the date you want to change to.
FAQ: Who can book onto training?
You MUST book onto your own training for GDPR reasons. If someone else books you
on, this is a breach of our policy and we will consider future bookings from yourself and
the person who booked on you on a case-by-case basis.
You must be logged onto your nhs.net account to book onto the vast majority of our
courses, it automatically captures your name and email address.
- Only the named roles on the booking Form can book onto that training – do not pick a
role that is not yours in an attempt to book onto training you are not eligible for. If you
do, then you will be removed from all further training in that financial year.
FAQ: Who do I contact with questions or cancellations?
You must ALWAYS contact the CPD email address for queries, questions, movement
between dates and cancellations: nelondonicb.cpd@nhs.net
DO NOT contact the training provider directly as this creates more work for all the
administrators involved. They do not hold all the information that we do, as per GDPR
guidelines.
DO NOT email or call our Clinical Lead (Ruth Amartey) as she will simply redirect you to
the correct email address.
- DO NOT email our Admin Lead (Rebecca Amartey) as she will not read it, and won’t
respond as per her auto-response.
FAQ: When will I receive confirmation of my booking?
We make every effort to send a confirmation email within 2 weeks of your application
(unless the training is within that period, in which case it will be sooner).
However, the top 3 reasons we are under a lot of admin pressure are:
- DNAs take a lot of admin time, we do not want to issue them, please don’t make us.
- Professionals do not check their emails and so email us with a myriad of questions
which were already answered. - Certificates (IYKYK).
- We recommend that you assume that you are on the training once you have booked
and protect your time accordingly – it is far easier to add in a clinic than try to move
one!
FAQ: What happens if I’m put on the waiting list?
If you receive an email to let you know you’re on the waiting list, we recommend you still
protect your time for up to 1 week before the training date, as this is the cancellation
period.
If a space becomes available, everyone on the waiting list will receive an email and it will
be given on a first-come-first-served basis.
- If there is a later date of the same training which is not yet full, you also have the option
of emailing nelondonicb.cpd@nhs.net and requesting to be moved to the later date – you
CANNOT fill in the booking Form again.
FAQ: Why did I get a DNA when I cancelled before the training?
You must ALWAYS contact the CPD email address for queries, questions, movement
between dates and cancellations: nelondonicb.cpd@nhs.net – if you email any other
email address this will not count as a cancellation.
You must contact the CPD email address to cancel before the end of the cancellation
period – this is listed on the website and will also be in your confirmation email.
- We will consider any exceptional circumstances for late cancellation / non-attendance
as long as you communicate these to us and are specific (if it is sensitive, you could email
your area lead or your line manager can contact your area lead and let them let us
know) – please do not wait for your DNA email before contacting us!
FAQ: Why did I get a DNA when I received late notice of training?
You must ALWAYS contact the CPD email address for queries, questions, movement
between dates and cancellations: nelondonicb.cpd@nhs.net – if you have not received a
login link for the training by 48hrs before, you MUST email and let us know.
You must check your junk email folder as often the confirmation email and / or login link
end up there – emails are usually sent at least 1 week in advance, and have a 48hrs
reminder.
- We do recommend you assume you have a place on training unless notified otherwise,
as releasing a clinic with short notice is far easier than trying to close / block a clinic.
FAQ: Why did I get a DNA when I attended the training?
This could be an error – we are all professionals doing our best, but mistakes do sometimes
happen. There is the option to respond to the DNA email with evidence of your attendance –
please note, simply saying you attended is not evidence.
If you use an unsuitable device (such as a mobile phone), you could be removed from the training,
and this will still count as a DNA.
If you login late, leave early, or miss a section of training which amounts to less than 80%
attendance, or if it is clear you are logged in but not ‘there’ this will count as a DNA.
If you do not login using your nhs.net email, your displayed name is not your full name, and do not
make it known who you are in the chat, we cannot know who you are.
- If you have your Teams settings set to not display your name in the register, we cannot know who
you are.
FAQ: How can I prove I attended the training?
For training we facilitate (Teams link sent by rebecca.amartey@nhs.net)
We need a screen-grab of the chat in Teams for that specific training – in the top right
hand corner there is a picture of 2 people, click on that and scroll down to your name
which should have a green tick next to it – take a picture (use the snipping tool or literally
take a picture with your smartphone if necessary) and email it to us at
nelondonicb.cpd@nhs.net.
For externally facilitated training
We just need a copy of your certificate, emailed to us at nelondonicb.cpd@nhs.net.
FAQ: Why have I not had my certificate?
This could be an error – we are all professionals doing our best, but mistakes do
sometimes happen. If you have not received it after 2 weeks – or the date you were
given in the chat when the link was posted, please email the CPD inbox to enquire.
Unfortunately at the moment it can take 2-3 weeks to send certificates and slides due to
admin pressures. We are trying to rectify this but the process has been arduous.
If you have not completed and submitted the evaluation Form, you will not get the
certificate and slides.
- If you did not book onto the training, but were ‘shared’ the joining link, or sat next to
someone booked on, you will not receive a certificate or the slides.
